A link needs a description
A folder link alone does not tell a cover person which document matters or whether it is current. Name the relevant item, its purpose and the version or date that controls the next action. Keep the reference inside the task where practical. Avoid copying the same instructions into several chats and expecting everyone to know which one supersedes the others.
Check with the receiving view
Being able to open a file as the owner does not prove that the receiving role can open it. Use the organization’s approved access process to test the correct view. A guest role may have different capabilities from a team member. Never share an account password or broaden access just to make a handover checklist look complete.
A fictional two-copy problem
The task points to Checklist-v3 while a chat message includes Checklist-final. Ask the responsible owner which is controlling, then record that answer and preserve any required history. Do not select the newest filename by guesswork. If neither version is approved, the next action is a decision, not execution using whichever file is easier to find.
Plan for absence without over-collecting
Keep enough context for the next action, not a private archive of everything the original owner knew. Store credentials, personnel records and restricted documents in their appropriate systems. A public planning worksheet should contain fictional or non-sensitive process descriptions only. Downloading a report is not proof that all linked context will remain usable later.
Test the reference, not the filename
Ask the receiver to open the approved reference using their own authorized access and explain which portion controls the next action. A working link alone is insufficient if it opens the wrong revision or a folder containing several equally plausible files. Record the controlling document and any unresolved version question. Do not download restricted material to a personal location to pass the test; report the exact access or ownership gap instead.
