Practical guide

Prepare a short, usable handover note

Last materially reviewed 2026-10-01

Quick answerGive the receiver a clear starting point, unresolved conditions and a place to record the next change.
What to know

Write for the first ten minutes

The note should let the receiver start without searching through every historical message. Include the process or project, responsible role, next review, approved context location and unresolved action. Use short descriptions that identify the task rather than reproducing private records. The local worksheet below does not upload, save or send the information.

What to know

Do not hide exceptions at the bottom

If a dependency is unresolved, a task occurrence is overdue or access has not been confirmed, say so near the relevant item. Avoid an all clear heading over a list of caveats. Prepared, reviewed and accepted are declared statuses, not results independently checked by this website. The output should never be used as a certificate of completion.

What to know

A fictional starting note

Process: monthly equipment-list review. Responsible role: operations cover. Next review: the agreed Tuesday check-in. Context: approved internal project folder. Open action: confirm whether the supplier response is final. That note creates a useful starting point without exposing actual names, contacts, credentials or commercial details. The next step remains an authorized human decision.

What to know

Transfer through the approved channel

If you copy the note into a company system, check its recipients and sensitivity first. Clearing this page cannot remove copies already made elsewhere. Agree the effective scope and receiver acceptance separately; generating a text block does not assign an account role, send a notification or transfer organizational responsibility.

What to know

Review before copying

Read the generated note aloud as the receiving role. Can you tell what remains undecided and where the next change will be recorded? Replace vague phrases such as “as discussed” with a non-sensitive reference to the approved decision. Keep actual credentials, personal explanations and confidential attachments out of the public worksheet. The declared stage is only text you selected; it cannot prove that the receiver saw, understood or accepted any part of the handover.

Continue when useful

Next: Access for cover

Match access to the actual cover task, and let the authorized owner handle permission changes.
