A sheet can remain the right answer
A shared sheet works well when a small number of people can review every open row, the meaning of each column is agreed, and dependencies are simple enough to check manually. Keep a stable task identifier, current owner, next action and review date. A color alone is a weak substitute for a written blocker or an accepted change.
A board helps make movement visible
A board can clarify which items are waiting, active or ready for review. It still needs rules: who may move a card, what done means, and whether the next occurrence should already exist. Trello offers a free route, while Nifty also has a limited free plan. Check current collaborator, project and automation limits rather than assuming every free tier fits the same team.
Dependencies change the comparison
A project tool becomes more relevant when one owner changes a date and several downstream tasks need attention. Nifty documents dependency links and cascading dates. That does not mean the software negotiates a new commitment or checks whether the receiving person has time. Compare the behavior against one fictional chain before moving real work.
Use an exit condition
In a two-week internal trial, agree what improvement would justify switching: perhaps the cover person can identify every open dependency without asking the absent owner. If a revised sheet passes that same test, do not buy merely because a paid tool has more features. Include setup, training and the cost of maintaining two competing records in the decision.
Compare the same sample
Put the same three fictional tasks into each candidate process. Score only observable questions: can the receiver find the blocker, distinguish the next repeat, and identify who decides a changed date? Record effort to maintain the sample separately from visual preference. A richer tool can win one criterion and lose another. Weight the criterion that caused the original problem, rather than choosing the candidate with the longest feature list.
