Why in progress is not enough

Two tasks can both be in progress while one is ready for work and the other is waiting on a decision. A color or column is useful for scanning, but it cannot hold the whole meaning. Add a short next action and the condition that permits it. Avoid treating the most recent comment as the official decision without checking its scope.

Separate waiting from abandoned

A waiting item needs a reason and a review point. Paused work needs a deliberate decision about whether it will resume. Neither should be automatically closed because no update arrived. The team can choose its own labels, but people should agree what each label means and which action changes it.

Make transitions reviewable

For a fictional office move checklist, gathering options is different from choosing one. Moving a card to ready for review says the input is prepared; it does not mean the option has been approved. Write the approving role and the evidence expected. A task system can record the state, but it does not supply the authority behind a decision.

A quick maintenance test

Ask a cover colleague to describe the next step for three cards without opening a private message thread. If they cannot, add the missing context or change the label definition. Do not respond by adding more colors. The goal is a record that can be acted on safely, not a board that looks busy or reports a higher completion percentage.

Write an actionable replacement

Replace “in progress” alone with “Compare the two supplied options after the reviewer confirms the current specification.” The status can remain in progress, but the action now includes a verb, object and condition. If that condition is not met, name the person responsible for checking it. This convention is editorial guidance, not a required Nifty field or an automatic workflow. Agree the wording with the people who actually maintain the record.
