What project continuity means—and how it works

Last materially reviewed 2026-10-01

Quick answerStart with what the next person cannot do. Buying a project tool is only one possible response.
What to know

Name the failure before the product

Write one sentence about the last interrupted piece of work: the replacement could not find the next decision, did not know a dependency had moved, or repeated a task that was already under way. Those are different failures. A tool comparison becomes useful when it starts with that specific missing job, rather than a long list of desirable features.

What to know

Separate the three routes

If the work is a short independent list, a shared sheet or simple board may be enough. If several owners depend on one another, compare structured task and milestone tools. If the handover concerns client billing, regulated records, construction acceptance or employee access decisions, use the appropriate specialist process. This guide addresses ordinary internal project coordination, not those higher-stakes activities.

What to know

Run a receiver test

Give a colleague a fictional task with a blocker, a due date and a pending decision. Ask them to explain what they would do next and whom they would ask if the blocker remains. Do not help immediately: the unanswered question reveals the missing context. Record the result as a process observation, not a software score or a judgment about the colleague.

What to know

A small example

A studio operations team is changing its internal equipment list. The work is not late because it lacks a dashboard; the replacement does not know whether a supplier response is final. Add the response owner and the decision date first. Only compare software if keeping that information connected across several tasks is itself becoming difficult. The right result can be to keep the current tools.

What to know

What continuity includes

Project continuity means preserving enough context for another authorized person to move unfinished work forward. It works through a small loop: describe the action, identify its conditions, let the receiver test their understanding, and review changes. It is broader than copying a task list but narrower than a business-continuity or disaster-recovery plan. A successful rehearsal shows that one sample is understandable; it cannot establish resilience across every future absence or incident.

Next: Compare tool types

Use the smallest tool that preserves ownership, sequence and the meaning of each repeat.
