Simple project management software for small teams: least setup, and what it costs later

Quick answerTrello, Basecamp, Microsoft Planner, Freedcamp and Nifty's free plan need the least setup. Each stays simple by leaving something out: views, time tracking, timelines or project count.

Five tools a small team can start without configuration

The simplest project management software for small teams is Trello, Basecamp, Microsoft Planner, Freedcamp or the free plan of Nifty. Each lets a team start with a list or a board and no configuration. The table shows where each begins and what it costs to stay. Prices are in US dollars on annual billing unless noted, as read on 3 October 2026.

Why these count as simple

  • Trello describes its own start as signing up and creating a board. There is nothing to model first.
  • Basecamp gives every project the same fixed set of tools on every plan, so nobody has to design a workspace.
  • Planner is added to Teams by searching for the app and selecting Add, then creating a new plan. Teams that already pay for Microsoft 365 have no new bill and no new login. See project management inside Microsoft Teams.
  • Freedcamp includes its core apps in every plan, including free, with no user limit.
  • Nifty includes tasks, milestones, docs and chat on the free plan, so one tool replaces a board plus a chat app.

Todoist is another candidate. Its Business plan offers a shared team workspace with up to 500 team projects, but its prices did not appear in the page text we could read, so it is left out of the table.

What simple costs you later

Simple tools stay simple by leaving things out. The gap shows up when the team needs a timeline, hours, or more projects.

Hard caps matter as well. Microsoft documents a limit of 3,000 active tasks and 200 buckets per basic plan, and 20 checklist items per task. Basecamp caps active projects at 3 on Freelancer and 10 on Studio. Trello Free stops at 10 boards per Workspace.

Where Nifty sits among simple tools

Nifty is not the simplest tool here. A Trello board or a Planner plan asks less of a new team. Nifty is the simple choice for a team that already knows it needs milestones, documents and chat next to its tasks and does not want three separate apps. The free plan is a fair trial of that, but 2 active projects is a tight ceiling, and the step to Pro is $10 per member on annual billing or $16 on monthly billing.

If a board is all you need, Trello Standard at $5 per user is the better pick. If you want one flat bill, choose Basecamp. A direct comparison is in Nifty vs Trello.
